Privacy notice

Who we are. Meeri Systems Ltd, a company registered in England & Wales (company number 17339290), registered office 59 Wingrove Road, Newcastle upon Tyne, NE4 9BS. We build and manage booking systems for service businesses. For anything in this notice, contact [email protected].
What we collect, and when
- Enquiry details you send us. If you use the enquiry form or email us, we receive what you provide: your name, email address, phone number if you give one, your business type and name, your location, and what you tell us about how your enquiries arrive and the problem you want solved.
- If you call or WhatsApp us. We receive your phone number and whatever you tell us on the call or in the chat, so we can respond. WhatsApp messages are also handled by WhatsApp (owned by Meta) as part of providing that service to you, under WhatsApp's own privacy policy — we don't control that part of it.
- Technical data. Our website is hosted on Cloudflare's infrastructure, which — like all hosting — keeps standard technical logs (such as IP addresses) to serve and secure the site. We don't use those logs to identify you.
We do not use analytics tools, advertising trackers or marketing cookies on this site. If that ever changes, this notice changes first.
Why we use it
One reason: to answer you. Your enquiry details are used to reply to you and, if you become a client, to set up and run your system. The lawful basis is our legitimate interest in responding to enquiries you initiate, and taking steps you request before entering a contract.
Where it goes
Each way of contacting us is handled differently, so here's the honest map:
- The enquiry form. Submissions travel through our website host (Cloudflare) and our email delivery service (Resend) into our company inbox (Google Workspace). All three act as processors on our instructions.
- Email. Handled by our email provider, Google Workspace, as processor.
- Phone calls. Answered on our business phone. Calls aren't recorded; your number and anything you tell us are used only to respond to you.
- WhatsApp. Delivered by WhatsApp (owned by Meta), which operates as an independent service under its own privacy policy — separate from the processors above. What you send us there is used only to respond to you.
Where our processors handle data outside the UK, we remain responsible for that transfer. As of the date above, Cloudflare, Resend and Google are each certified under the UK Extension to the EU–US Data Privacy Framework — we checked this directly against each provider's current published compliance record rather than assuming it. Where that certification doesn't apply or ever lapses, transfers rely on the international-transfer safeguards in each provider's data-processing terms — the UK Addendum to the EU Standard Contractual Clauses or the UK International Data Transfer Agreement. We do not sell your details, share them with advertisers, or add you to marketing lists.
How long we keep it
Enquiry correspondence is normally kept for up to 24 months from your last contact with us, so we can follow up and keep accurate business records. If you become a client, information relevant to that relationship is kept for as long as the relationship lasts and for a reasonable period afterwards, in line with our legal and accounting obligations. If you'd like your enquiry deleted sooner, ask — we'll action valid requests, subject to any legal or contractual reason we may need to keep specific information.
Your rights
Under UK data protection law you can ask us for a copy of your personal data, ask us to correct it, delete it, or restrict or object to how we use it. Where we hold your data because you took steps toward a contract with us, you can also ask for it in a portable, machine-readable format. Email [email protected] and we'll handle your request in line with data-protection law — this right isn't unlimited, and there are circumstances (such as a legal retention obligation or an ongoing contract) where we may need to keep or use certain information a little longer, and we'll explain why if that applies. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Our registration
Meeri Systems Ltd is registering with the Information Commissioner's Office as a data controller. Our registration reference will appear here once issued: [ICO registration number — to be added once issued]. You can look up any organisation's registration on the ICO's public register.
Changes
If what this site does changes — a new tool, analytics, anything — this notice is updated before it goes live, with the date above.
